Kitsto Posted January 17 Share Posted January 17 (edited) The band I was in had a short contract we emailed to venues in advance. I left the band some years ago and now can't find it. But from memory here are some of the things you may want to cover: Length of set (with interval) and actual times (there may be a cut off beyond which bands can't play) Access time (what's the earliest you can get into the room to load-in + soundcheck) Space to park for load-in and load-out (check how much time after you finish you have to load out - when does the venue close completely) Public liability insurance (venue should carry this in case a member of the public gets injured) Powerpoints and availability of power Fee - how much, when and how paid (Deposit? Part on booking? Fee if cancelled?) Decibel limit and monitoring? They may want your equipment to carry an electrician's safety certificate (one of the guitarists was a sparks so did this for us). This was, incidentally, in a nice Word document, rather than jus a text file. Band Requirements Please ensure that access to the venue is available at least 45 minutes before the start time to allow us to set up our equipment. We will need at least one 13A mains outlet [adjust to requirements] close to where we are to set up. If the event is to be held outdoors, please provide a tent or awning to protect our equipment and instruments. If there is an event organiser for your venue, please give us the details and we will organise this with them. It would be helpful if you could give directions from a town or recognisable landmark near to the venue, bearing in mind it may be dark when we arrive. A postcode for the venue would also be very helpful. Please delete as applicable: The function will be held indoors / in a barn / in a marquee / outdoors A supper or other meal will / will not be provided for the Band and Caller in the interval There will be a bar / it is Bring Your Own / it is a no alcohol event. CANCELLATION In the event of cancellation by you, the following cancellation fee as a percentage of the fee quoted above will be charged: 28 days or more before: 15% 8 to 27 days before: 45% 2 to 7 days before: 80% On the day: 100% RESCHEDULING If the booking has been confirmed by payment of deposit and returned contract BUT after that you have a requirement to reschedule, there will be a rescheduling fee of £100 payable once the event has been moved. This is part compensation for any gigs we have refused for your original booking date. If the Band are unable to attend the event, we will make every effort to find suitable replacements (and this would usually be successful). However, we cannot be held responsible for non attendance or late arrival due to reasons beyond our control.
